How to Upload Bulk Manual Claims
This guide provides a step-by-step process for uploading claims and using the Bulk Manual Claims Template, which streamlines the claims submission process. By following the instructions, users can efficiently enter claim information, avoid common formatting errors, and ensure compliance with necessary requirements like state sales tax. It also offers troubleshooting tips for managing invalid claims, making it an essential resource for anyone involved in handling manual claims in the system.
-
From the Main Menu click "Carrier Management"
-
Select a carrier from the list
-
Click the "Manual Claim" button. Tip! If the Manual Claim button is not on your screen, the carrier may not have this feature turned on and they would need to approve a configuration change.
- This is the Manual Claims page. It shows all manual claims you have uploaded. From this page manual claims can be searched, viewed, edited, and deleted.
- To create a single claim, click "New Manual Claims". Fill out the required information and click save to create a single manual claim.
- To bulk upload claims, click "Bulk Manual Claims"
- Click "Download Template". Once the template has downloaded, open the file.
- Click Enable Editing. Enter your claim information into the template. Columns in blue are required to create a claim in the system. If you copy and paste, paste values only to prevent transferring formatting. Formatting can cause errors when uploading.
- If you do not have certain information, you can use N/A or Not Available
- You may not have the loss address but if you need to charge sales tax, make sure to include the state.
-
Some carrier's have a CAT Workflow. This workflow only allows you to bill CAT assignments if a CATID is present. While CATID isn't required, you may not be able to bill certain assignments without it depending on your carrier's configurations.
-
If your client is tracking SLA dates or if assignments are limited by date ranges, they may require you to add certain dates for manual claims. These dates columns are listed to the right of the address and CATID columns.
- Once you have completed the template, save it to your files where it can easily be located.
- In the system, click "Choose File" to open your file explorer and select the file you just saved.
- Click "Upload Batch"
- You can edit any invalid claims by clicking the edit button. Invalid claims will have an exception and a rejected reason. Due to a pre-validation when uploading the claims files, the system will request you make corrections prior to uploading the file.
- Make sure your batch says submitted before trying to invoice against the claims.
- Click "View Manual Claims" to see a list of all claims uploaded.
